Industrial ERP: writing useful specifications

Exped Global Solutions ·

An industrial ERP starts with flows and exceptions. Prepare useful specifications: data, roles, integrations, validation and recovery.

Blocks revealed by a blue opening in a translucent panel

A list of modules is not yet specifications. “Purchasing, stock, production, sales” names areas, but does not say how the business operates when deliveries are partial, quantities corrected or priorities changed. To prepare an industrial ERP, first describe the operations that must cross these areas without losing their meaning.

Describe an end-to-end flow

Choose a representative operation and follow it to its result. Who creates the demand? What makes it valid? Which document is authentic? Who can correct a quantity? A concrete case allows us to identify the places where information is re-entered, expected or contested.

Add common exceptions: cancellation, replacement, return, inventory discrepancy or unavailability of equipment. Software may seem suitable when everything is happening in the ideal order. Imperfect situations reveal whether its rules fit the field or force teams to maintain a parallel system.

Identify data and its owners

Prepare product references, units, possible nomenclatures and identifiers used by the services. Define who creates and validates these items. A migration does not become reliable simply because an import accepts a file. Duplicates and conflicting rules should be reviewed with business leaders.

Classify the data to be collected according to their usefulness. Not all history needs to be imported into the new journey. Certain elements may be kept for consultation or archived depending on applicable obligations. This decision must be explicit and validated, not taken by default during a technical operation.

Write rights and responsibilities

Define authorized actions by role rather than a vague opposition between administrator and user. Who prepares, approves, consults and corrects? Which actions require additional justification or validation? Traceability must make it possible to understand important operations without unnecessarily recording information about people.

If existing tools remain in place, specify the expected exchanges, their frequency and how to manage a failure. Integration is not just a successful transfer: it must manage a correction, a rework and a duplicate. The access conditions to the interfaces must be checked before promising the connection.

Set acceptance before launch

For each flow, write a few cases for users to run and validate. Associate the expected result, the necessary documents and those responsible for validation. Plan for training, backups, disaster recovery and handover. Distinguish the start-up cost from recurring costs and planned developments from new demands.

You can start with a process page rather than a lengthy document filled with technical terms. Our file ERP in Algeria and blind management helps choose priority decisions. Discover the Exped business software, the integrations and the portfolio, then present a first flow to clarify.
